Overview

Titan Security is currently recruiting for a Part Time Administrative Assistant to work at the downtown office.  The Administrative Assistant  serves as first point of contact for our clients and vendors over the phone and in person at the front desk.  This position will provide professional and friendly greeting and assistance as well as call routing for our internal/external clients.  Additionally, they will assist with a wide-range of administrative support activities.

Administrative Assistant responsibilities include, but are not limited to:

Responsibilities

 

  • Welcomes on-site visitors, determine the nature of business, and announce visitors to appropriate personnel.
  • Answering the telephone, direct, screen calls, taking and relaying messages.
  • Providing information to callers, greeting persons entering organization and directing individuals to correct destination.
  • Provide administrative support, such as answering telephone, taking and delivering messages or transferring calls to voice mail when appropriate personnel are unavailable.
  • Dealing with queries or requests from the customers and public.
  • Providing general clerical and administrative support to all levels of professionals.
  • Must have a great attitude, have high enthusiasm, and be able to make decisions on the spot.
  • Organized and great with managing their own time.
  • Read and analyze incoming memos, emails and reports to determine their significance and plan their distribution
  • Open, sort, and distribute incoming correspondence, including faxes and email.
  • Assist incoming candidates with information on the application process.
  • Maintain front desk area and break area keeping it clean and free from clutter.
  • Update and maintain customer and vendor contact information.
  • Coordinate the maintenance and repair of office equipment.
  • Maintain appropriate interpersonal relationships with employees, peers, customers and vendors.
  • Other duties assigned as needed.

Qualifications

Education and/or Experience: High School diploma or general education degree (GED) and 1years prior satisfactory employment as a receptionist or in a customer service position. 

Must be at least 20 years of age.

Certificates, Licenses, Registrations: Ability to acquire and maintain a valid Illinois PERC, including state accredited training requirements. Any other licenses required (e.g., driver's license)

Language Skills:  Must have the ability to read, write, speak, and understand English. Bi-lingual considered a plus.

Computer Skills: Proficiency with Microsoft Office software (Word, Access, Excel, PowerPoint

Other Qualifications:  Ability to pass pre-employment drug screen and criminal background check.  Must maintain a working telephone number though which we can contact you. 

Physical Demands:  Standard Office environment 

Salary & Benefits: Compensation is between $14.00 and $16.00 per hour based on experience, plus paid time off, medical insurance, dental insurance, paid holidays, and pension/retirement benefits. Skills-enhancing training and opportunities for career growth and promotion.
